Thai tax invoices: what they must show and what cannot be claimed
Check the 8 items on a full Thai tax invoice, how it differs from an abbreviated one, who issues it, when, and which errors can block an input tax claim.
A full tax invoice must show 8 key items, including the words "Tax Invoice", seller and buyer details, a serial number, item details, the VAT amount and the date. If you plan to claim it as input tax, check it before recording it, because abbreviated invoices and incorrect ones may not qualify.
Who can issue a tax invoice?
A business registered for VAT must prepare and issue it to the buyer or service recipient. A business that is not VAT-registered should not issue a document called a tax invoice, even if a customer asks. Use a receipt or sales document that reflects its real status.
What must a full tax invoice show?
- The words "Tax Invoice" in a prominent place
- The issuer's name, address and tax ID
- The buyer's or service recipient's name and address
- The invoice serial number, and book number if any
- The name, type, category, quantity and value of goods or services
- The VAT amount, separated from the value of goods or services
- The date of issue
- Other statements required by the Director-General
As a seller, set up your form with these fields from the start. As a buyer, check before paying or sending it to your accountant. Asking for a correction right away is usually easier than chasing it months later.
Full vs abbreviated invoices
- Full: shows the buyer's name and address, separates VAT from the price, and can be claimed as input tax when valid
- Abbreviated: does not need the buyer's name and address, shows a VAT-inclusive price, and its input tax is non-claimable
When buying for your company, ask for a full invoice when you pay. Do not wait until month end, because some shops have specific steps for changing documents.
When must a tax invoice be issued?
The general rule is no later than the moment VAT liability arises.
- Goods: generally on delivery
- Services: generally on receipt of payment
If ownership transfers, a document is issued or money is received earlier, liability can arise sooner. Check your case against the Revenue Department guide or with an accountant.
Which errors can block an input tax claim?
- Using an abbreviated invoice
- Missing key details, or a buyer name that is not your business
- Crossing out, erasing or adding to entries on the document
- Items unrelated to the business
- An invoice issued by someone not entitled to issue it
If details are wrong, do not correct them on paper yourself. Have the seller follow the cancel-and-reissue process. Revenue Department guidance is to cancel the original and prepare a new one, using the same date as the original in the relevant case.
Which month applies if you receive it late?
Record it in the month it should be used. If there is a necessary reason under the rules, such as receiving the invoice in another month, it may be used within 6 months from the month after the invoice month.
Do not hold invoices to use whenever convenient, because this directly affects PP 30.
How should tax invoices be kept?
Both sellers and buyers should file them by tax month so they can be retrieved. VAT documents must be kept for at least 5 years from the filing date. See the monthly accounting documents checklist for the wider picture.
If you have many documents or want them checked before filing, our bookkeeping team can tell you when something is missing.
Frequently asked questions
Can a receipt replace a tax invoice?
One document can serve as both if it shows all required items. A receipt alone does not become a tax invoice just because it shows a VAT number.
Is a small misspelling of the company name acceptable?
Do not decide alone. Compare it with the registered name and ask your accountant. If necessary, have the seller cancel and reissue it.
Can an e-Tax Invoice replace paper?
Yes, when prepared using a method specified by the Revenue Department. Check that it came from the proper system and is not just a PDF file.
